Job Description
- The Administrative Officer is responsible for providing comprehensive administrative, clerical, and operational support to ensure the smooth running of the transformer repair and motor rewinding company.
- The role involves coordinating office operations, managing documentation, assisting with procurement, supporting HR functions, and ensuring compliance with company policies.
Key Responsibilities
Office Administration & Coordination:
- Oversee daily office operations, including record-keeping, correspondence, and filing systems.
- Manage office supplies, equipment, and maintenance needs.
- Handle incoming and outgoing communications (emails, phone calls, letters).
Operations & Customer Support:
- Coordinate with workshop staff to track job progress and update clients when required.
- Support preparation of quotations, work orders, and service agreements.
- Handle client inquiries and maintain a positive service experience.
Compliance & Safety Support:
- Ensure administrative compliance with company policies and labor regulations.
- Assist in enforcing workplace safety guidelines in collaboration with the HSE officer.
- Keep records of safety drills, inspections, and compliance reports.
HR & Staff Support:
- Maintain staff attendance, leave records, and timesheets.
- Support recruitment, onboarding, and documentation of new employees.
- Coordinate staff training, welfare, and communication between management and workers.
Procurement & Inventory Support:
- Assist in procurement of materials, tools, and spare parts for transformer repairs and motor rewinding.
- Keep accurate inventory records and update stock levels.
- Liaise with suppliers, vendors, and contractors to ensure timely delivery.
Financial & Documentation Support:
- Assist the accounts department in preparing invoices, receipts, and petty cash management.
- Ensure proper documentation of job orders, repair logs, and service reports.
- Maintain compliance documents such as licenses, contracts, and statutory filings.
Key Requirements
- Education: Bachelor’s Degree / HND in Business Administration, Office Management, or related field.
- Good knowledge of office management systems and record-keeping.
- Strong organizational, multitasking, and communication skills.
- Ability to work with technical staff and understand basic workshop operations.
- Experience: 2 – 5 years of administrative experience, preferably in a technical, engineering, or manufacturing environment.
- Proficiency in MS Office (Word, Excel, PowerPoint).
Salary
N200,000 – N250,000 / month
